Handy Finance is intended for mobile personal and small business money management.

It is a Palm OS expense tracking software and allows the user and to answer the frequently asked questions like "How much money do I have?", "What incomes and expenses are planned?", "What have I spent my money on?" and many others.

Great, it fully supports Palm OS 5! This makes it very convenient and informative. As far as I know, it is the only freeware expense program with hires and 5-way nav support. The setup was smooth; it has offered to create some initial accounts, currencies and categories. I have relaxed and agreed. Then it helped me to enter an initial amount. Nice. I was not confused setting up accounts and other things. By the way I saw an example in the archive; probably it is intended to help with all these things. Columns was easy to configure, visible columns are marked with bullets and needs to be clicked again to disappear. Further, very pleasant thing is that I can independently configure columns for landscape and portrait views on my Tungsten T3! I have found a guide (named "friendly guide";), which helps to step through program, starting from most simple and basic things, like setting up accounts and categories, and finishing with sophisticated financial schemes. It sounds fluently, and most of the things are easy to follow. Additionally there is a cumbersome manual with a lot of pictures. It was a trouble to lock conversion rate. I have spent few days experimenting and reading builtin tips, but finally I managed to do this. Hint: there is no rate table by date. Currency rate can be remembered in the transaction. There is an option, which rate to use to calculate the total. You may switch between current rate and remembered rate. I have tried to make it running from memory card, but not succeed. It is OK when running from palm. With this program I’m doing most of the things, which have to be paid while using other software.

I installed HandyFinanceLite version 2 onto my Sony memory stick. Installation was a snap. After that, things got difficult. I opened the program for the first time and was directed to the Account sheet. I was totally lost but after about fifteen minutes of playing I managed to create an account called “Chequing Account” and set my home currency and a few major currencies that I occasionally deal in (US greenbacks, Euros, and British pounds). I set the conversion rates by looking at Yahoo finance (buy value).

After another ten minutes of playing around, I created a transaction for the Chequing Account to enter in my current account balance. Everything went smoothly until I accidentally hit the title bar in the ‘Transaction’ view. I inadvertently added two columns ‘Cleared’ and ‘Balance’. So, I tried to delete them but I couldn’t find the option in the options memo. I tried to hide them by moving the columns over but the first character always stayed. I added every column and then in desperation I went to the included documentation. Look, I understand that English may not be the programmer’s first language but the documentation should at the very least tell you how to set up an account, make a transaction, and edit the views.

The only thing I could find was “flourish from left to right hides columns” so like an idiot I “flourished” for another few minutes. Honestly, if I wasn’t an engineer with an upcoming subway ride to kill I’d have deleted it instantly at that point. Anyway, 15 minutes into the train ride, I finally figured it out. Select the field you want to view once to see it in the Transaction sheet, select it again to make it disappear. (Actually I’d thought I’d tried that at the beginning but I must have hit another column).

After that things went much better. This program ends up being VERY functional (and a bit addictive) but the poor documentation makes it very unlikely anyone is going to stick around long enough to get comfortable with it.

Things I like:

  • The concept of passive accounts. Got a car loan that you make regular deposits to? Want to see how much your company has reimbursed/paid you over the past six months? Create a passive account and simply transfer money to or from it. It doesn’t show up in your balance and you have quick view at a how much you’ve doled out.
  • Configurable categories: There are four fully configurable categories that you can use. In the Full and Personal versions you can use these categories to make reports but in the Lite version you can only do so with the first category. Nevertheless this is a brilliant tool. For instance, in Category 1 I define my major expenses “Groceries, Entertainment, Investments, Travel etc.” Category 2 is transaction type “Transfer, Cheque, ATM, Card Payment, etc.” This is absolutely beautiful for tracking your budget. Category 3 can be the Account your working on etc. At this moment I have 11 fields in Category 1 and space for more!
  • You can transfer between multiple accounts. Transferring money from your Chequing Account to your Stock Cash Account? Simply touch “from” and “to” on the transaction detail screen and the accounts are easily selectable from drop down menus.
  • Many, many useful features. Wrote a cheque and it hasn’t cleared? There’s a box for it. Have an expense that you plan but won’t occur for a few days? You can enter it in and select “Plan” in the balance type and then in the Full versions you can filter it out of view. You can even create repeating transactions that occur periodically (weeks, days, months) but again you have to buy the full version.
  • Apparently it handles large numbers transactions well (I only have about fifty transactions in it so far but it responds well).

The developer has obviously put a lot thought in behind the above features. They are well executed. This makes the following omissions more upsetting.

Things I don’t like:

  • No Interest Calculating feature. I find this particularly irritating as I feel it’s pretty easy to implement. For instance if I have a credit line I would like to know how much my interest is if it’s compounded on my daily balance and credited monthly.
  • The currency calculator is not useful except as an Euro (the program) clone . Oh, its useful if the conversion rate doesn’t vary very much, but, for instance, if you transfer $1000 USD to your British holding account it will show it as 1500₤ GB. All well and good right? The problem is that you can’t lock the conversion rate on different dates. Change the conversion rate and the amount in the account changes. Or, if you reverse the transfer as 1500₤ GBP with conversion rate that should be $966 USD both accounts net as 0. (You want the British account to show 0₤ GBP and the US account to show $(34)). Perhaps there is a feature to fix this but I’ve tried all of the currency options and nothing has worked.
  • On that note, negative balances/transactions are shown as -number rather than (number). Okay, this is really just a pet peeve (lots of people prefer the negative sign). More annoying, $6.00 is recorded as $6 and $1.50 is recorded as $1.5. I find this very aggravating- it really makes the amount column look very messy. Leaving two decimal significant figures after the decimal would make it look more professional.
  • The transfer screen offers the option of subtracting a percentage of the amount part (I presume to account for banking fees). This is okay for some transactions but I would like the option to express the transaction cost as a fixed amount.
  • The documentation, and I can’t say this enough, has to get better! For instance, there are a couple options to fix the currency rate in the transactions but I can’t figure out how to make them work ­ and trust me I’ve spent enough time on it. This makes the currency calculator useless. In fact I would say 90% of the people who try this software will abandon it because it’s just too difficult to learn (especially in comparison to Expense or PocketQuicken).
  • Security: I can’t verify this as the Lite version has the security options disabled but I don’t think the security feature has any real encrypting of the information. This is an important (and I’d be willing to pay for it) feature. I don’t need a complicated cipher but I expect some level of encryption greater then the standard Palm password. As it is, don’t leave any key information such as passwords or account numbers in your Palm.

Despite these relatively minor failings Handy Finance has a permanent spot on my Clie. If you’re looking for configurable, powerful program that can handle multiple accounts and lots of transactions this program is for you. If you are not technically minded or like to read the documentation before you use a program, stay away!

Hopefully, the next release of HandyFinance will remedy the problems I discussed above! This program could eventually go against the big boys.

Its OK at best. The interface is not really intuitive, and the columns for the categories do not line up. Aside from this, is it OK...but maybe geared toward the power user as opposed to novices like me.
