How do I provide feedback or raise concerns related to Ministry Procurement Activity?

Our objective when selecting or interacting with suppliers is to follow:

If you are involved in a supplier selection process, or are a current supplier to the Ministry you are encouraged to provide both positive and negative feedback by email to pro@mfat.govt.nz

If you have a concern or question related to a tender process, please raise it as early as possible.  If you have been unsuccessful in a tender, you should first ask for a debrief.  A  tender debrief will help you understand the relative strengths and weaknesses of your proposal in comparison to the offering of the supplier selected. Debriefs can resolve concerns, clarify problems and provide you with ideas of how you might improve the success of your bids in future.

Concerns or complaints related to any part of a formal procurement process can be sent either by:

You should include information identifying the tender involved, relevant dates, your contact details and a brief summary of the problem, feedback or concerns.

You should normally expect an acknowledgement and/or a written response within 20 working days.

If your concern has not been adequately addressed,  further options for feedback are outlined in the Ministry of Business, Innovation and Employment’s Guide to Feedback and Complaints.

More information on Governement procurement and its principles, rules and the law is available at Procurement.Govt.nz.
